Submitting a Project
How to submit your hackathon project on HackHQ. Fill out the form, add team members, choose competitions, and submit without creating an account.
Your organizer will share a submission link with you. Click it to open the submission form. No HackHQ account is needed.
The submission form
The form collects information about your project. You'll see:
- Your name and email so the organizer can identify you and send you a link to your project page after submitting
- Project name and description for your project
- Team members (optional) with name and email for each person
- Competition selection if the event has tracks or challenges
- Custom questions the organizer added, like URL fields, text questions, or dropdown selections
Adding team members
Click Add a team member and enter each member's name and email. There's no limit to team size. For solo projects, just leave this section empty.
The person who submits the form becomes the team lead. All team members appear on the project page and receive their own certificates if the organizer publishes results.
Choosing competitions
If the event has tracks and challenges, you'll see selection fields on the form:
- Tracks are mutually exclusive. You pick one track for your project (e.g., "Best Web App" or "Best Mobile App").
- Challenges are optional extras you can enter alongside your track. Check as many as your project qualifies for (e.g., "Best Use of AI", "Best Design").
Not sure which to pick? Your organizer should have described each option on the event page.
URL fields and embeds
When you paste URLs into URL fields (like "Demo Video" or "GitHub Link"), HackHQ automatically detects and embeds content from supported platforms:
| Platform | What happens |
|---|---|
| YouTube | Video player embedded inline |
| Loom | Video player embedded inline |
| GitHub | Repository card with link to repo |
| Twitter/X | Tweet embedded inline |
Other URLs display as clickable links. Embeds appear on your project page and are visible to judges and organizers.
Tip: If your project has a demo video, paste a YouTube or Loom link into a URL field. Judges will be able to watch it directly on your submission page without clicking through to another site.
After submitting
After you submit, two things happen:
- You'll see a confirmation page with a link to your project page
- You'll receive an email with a private link to manage your submission
Save that email. The link in it is your access to view, edit, and share your project. See Your Project Page for details on what you can do there.
Editing your submission
You can edit your submission as long as submissions are still open. Visit your project page using the link from your email and click Edit Submission. Once the organizer closes submissions or the deadline passes, editing is locked.
Deadlines
If the organizer set a submission deadline, you'll see the deadline date and time on the form. After the deadline:
- The form shows a "Submissions closed" message
- Existing submissions are locked for editing
- You can still view your project page
