Managing Submissions

View, search, filter, and export hackathon submissions on HackHQ. Submission table, detail panel, and CSV export.

Once participants start submitting, the Submissions tab becomes your project management dashboard.

The main table shows all submitted projects:

For each submission, you can see:

  • Submission: Project name
  • Team: Team members with avatar initials
  • Competitions: Which tracks or challenges the submission is entered in
  • Submitted: When the project was submitted

The header shows your total count (e.g., "15 submissions, 50 participants").

Searching and filtering

  • Search bar: Find submissions by project name or participant name
  • Competition filter: Click the Competition button to show only submissions in a specific track or challenge

Submission detail panel

Click any submission row to open the detail panel on the right side.

The panel shows:

  • Project description with "Show more" for longer descriptions
  • Custom field responses with auto-embeds for URL fields (YouTube videos play inline, GitHub repos link directly)
  • Competition badges showing which competitions the project is entered in
  • Team members with names, emails, and Lead designation
  • Manage submission link to open the full project page
  • Delete Submission to permanently remove it

If the submission includes a GitHub URL and your plan supports it, you'll also see GitHub Insights with commit activity analysis.

Adding submissions manually

Click Add submission to create a submission on behalf of a participant. Useful for:

  • Late entries that missed the deadline
  • Testing your submission form
  • Projects submitted outside the platform

For more than a handful of rows, use Import to load up to 1,000 submissions from a CSV file at once. See CSV Import.

Exporting data

Click Export CSV to download all submission data. The export includes:

  • Project names and descriptions
  • Custom question responses
  • Team member names and emails
  • Competition assignments (tracks, challenges)
  • Submission timestamps

CSV exports are great for creating reports for sponsors or stakeholders. Import into Excel or Google Sheets for custom analysis.
